Receptionist (PMR)

Job Introduction

We are looking for a new Receptionist who will join our creative team and support us delivering the excellent service we are known for.

You will be based a minimum of 2 days at our client's offices near three major underground stations (Green Park, Piccadilly Circus, and St. James's Park). You will also cover holidays and sickness within the existing team. The remaining hours, you will support our Network Team as a Corporate Mobile Receptionist.

We are looking for a dedicated and flexible individual, with a positive attitude who will respond to the needs of the business and ensure that all client meetings are supported.

This is a full-time, permanent role (40 hours per week), on a shift rota basis from Monday to Friday between 8 AM and 6:30 PM. As this is a 24/7 environment this may mean working longer days, however in return we will provide you with an enviable working environment which includes a uniform, an annual discretionary bonus, free membership to our in-house gym and free lunch in our staff restaurant and other benefits given by the client to reward our efforts.

Main responsibilities

  • Providing a warm welcome (meeting and greeting) to guests and visitors
  • Operating a busy switchboard, directing calls, taking messages, and ensuring correct details are passed on
  • Managing a busy and sometimes complex meeting room diary for 15 meeting rooms
  • Liaising with the secretarial staff and the catering team
  • Managing the catering bookings, ensuring they run smoothly
  • Liaising with the IT/AV department to ensure meeting rooms have the correct equipment available
  • Ensuring the reception area and the meeting rooms are kept immaculate
  • Booking taxis, local, and international couriers, and checking invoices against bookings
  • Accepting, delivering and collecting mail and deliveries, using franking machine to send collected mail
  • Liaising with the building manager and assisting with any ad-hoc issues
  • Working closely with the Security team, and dealing with issues in their absence (e.g., issuing passes, managing contractors, etc.)
  • Responding to guests' ad-hoc requests and exceeding guest expectations
  • Assisting the Facilities team in ensuring jobs around the building are being followed up and completed

  • Understand the demands of working in a prestigious corporate environment, and the importance of the Receptionist role
  • Be highly professional and stay calm under pressure, with a creative mindset and passion to grow
  • Take pride in providing a first-class service, with a strong customer service ethic
  • Possess excellent communication skills, verbal and written
  • Ideally, have at least one year of customer service experience in a similar role within a luxury hotel, premium airline, or corporate environment
