Administrator/ Receptionist - Nottingham (KPRA)

Job Introduction

Our team is expanding, and we are looking for a Administrator/Receptionist to join our Rapport team in our new client’s offices in Nottingham. Our client is one of the Big 4 Accounting firms, offering an exciting opportunity to be part of a prestigious workplace.

This is a combined role requiring strong administrative skills. You will also handle extra duties, such as setting up meeting spaces, delivering catering and managing the tea points. You will work closely with the Facilities team and manage the operations of a small office independently.

Working hours: Monday -Thursday: 8.30 AM – 4.30 PM (including 1-hour lunch break); with flexibility to cover from 8AM - 5PM and also flexibility to cover Fridays at short notice as per business needs

Ideal start date: April 2025

During the training period the successful candidate should be willing to travel to Birmingham for comprehensive training and client experience exposure.

Main responsibilities:

  • Follow the Facilities daily checklist to ensure procedures and protocols are completed.
  • Maintain the Reception area and meeting rooms to a high standard throughout the day, greeting visitors in a professional and friendly manner.
  • Provide first-class service to raise the profile of Facilities Operations while minimising expenditure.
  • Act as a point of contact for the local Workplace team, providing administrative support.
  • Respond effectively to general enquiries from clients, contacts, and suppliers.
  • Arrange meetings and hospitality through the online reservations system, organising taxi arrangements when needed.
  • Monitor catering equipment and ensure a sufficient supply of consumables while being mindful of costs.
  • Liaise with contractors and keep the Facilities Service Desk informed of any issues needing resolution.

The candidate will ideally:

  • Have a background in Food and Beverage within a luxury establishment (e.g., 5-star hotel or corporate environment).

  • Be proficient in MS Word, Outlook, Excel etc
