Job Introduction

We are looking for Reservations specialists who are proficient in the booking, allocation, space optimisation and cancellation processes.  

The Reservationists will be part of our teams based in our clients’ offices in Canary Wharf. The objective of the reservation’s role is to efficiently and effectively provide workspace and meeting rooms management in the corporate environment.

Responsibilities will include

  • Managing all booking tasks associated with meeting rooms and workspaces. 
  • Nurturing relationships and ensuring the most effective communication with a variety of stakeholders especially with the PAs and EAs of the senior executives. 
  • Being responsible for all incoming and outgoing communication pertaining to reservations.
  • Ensuring requests, changes and inquiries are dealt with promptly and efficiently.
  • Reviewing bookings and ensure these are correct to standards set by the client and feedback any concerns to management.
  • Monitoring and managing the occupancy levels these work and meeting spaces and optimising usage. 
  • Submitting and providing accurate monthly reports with statistics of utilisation of the workspace. 
  • Proactively dealing with guest requests in an efficient, friendly and timely manner, ensuring all business requirements are dealt with promptly and professionally. 
  • Communicating effectively with other departments and service providers, creating a ‘one team’ approach to delighting our guests.
  • Adopting a flexible and adaptable approach at all times when dealing with ad hoc duties as required. 

The successful candidates will 

  • Have strong reservations or events booking experience in a luxury hotel, premium airline or a corporate environment. 
  • Have the passion and drive to deliver the very highest levels of customer service. 
  • Demonstrate an excellent command of the English language, both in verbal and written communication.
  • Be an efficient multi-tasker and highly organised with an eye for detail.
  • Have great interpersonal skills, an outgoing and vibrant personality.
  • Understand professional etiquette.
  • Possess a high level of attention to detail.
  • Have the ability to work well under pressure and act both proactively and intuitively. 

The successful candidates will be offered a very competitive salary package plus a range of staff benefits, including pension, store discounts and life assurance. 

Working hours are typically 8 hours per day, 40-hours per week, Monday to Friday, on rotating team shifts, usually no earlier than 7am and no later than 7pm. Our teams do not work weekends or Bank Holidays.
