Facilities Assistant (NRNOA)

Job Introduction

We are hiring an Operations Assistant to provide excellent service to clients and customers. 

The client is a prestigious Magic Circle Law Firm based on Newcastle Quayside. This is an exciting opportunity for someone looking for variety in their day to day, providing 5 star customer service to our clients site in Newcastle. 

This is a Permanent, Full Time role, 40 hours per week, Monday to Friday shifts between 9am and 5.30pm.

Role Responsibility

  • Stand & greet on the desk, deal with all clients, suppliers and internal staff courteously and efficiently
  • Contact hosts and escort clients to the conference room, if required
  • Maintaining parking provisions and booking parking for staff members on site
  • Report faults and repairs for timely remedial action and log accordingly
  • Liaise with the operations team, technical/room bookings department and cleaning to ensure the overall service is timely and seamless
  • Answer telephone calls and providing secondary support to the helpdesk when required covering holidays and absences
  • Provide a second level of technical support as and when required and maintain a good working knowledge of the Condeco Room Booking and Visitor System
  • To ensure that visitors and contractors passes are issued and all details are logged on Condeco.
  • Arranging print services for staff on site
  • Management of site catering, weekly milk and fruit orders, checking stock levels and arranging ad-hoc catering when required

• Excellent communication and interpersonal skills especially in dealing with under pressure situations and manage unreasonable demands
• Ability to challenge the process to identify new ways of performing
• Ability to adapt to different priorities quickly and maintain good attention to detail to ensure image and standards are maintained
• Approachable & friendly
• Good customer service skills
