Office Coordinator (ACDOC)

Job Introduction

We are recruiting an Office Coordinator to work as part of the Rapport team based in the Haymarket Square, Dublin. You will be working as a member of the front-of-house and hospitality team to ensure a consistent professional, friendly, fun and welcoming environment for all employees, clients and visitors to our world class office in Smithfield.

This is a 40 Hours a week role, Monday to Friday, 9am-5.30pm

Role Responsibility

As part of the front-of-house team, provide services such as greeting employees and guests, signing them in, package and deliveries acceptance and retrieval, transportation options, restaurant reservations, and any additional requests upon demand

Establish relationships with employees and regular clients/visitors to tailor services to their individual needs.

Establish a local network and information database in order to answer queries pertaining to local amenities.

Deal with all client and supplier correspondence in a timely and professional manner.

Prepare meeting rooms in advance of any client meetings

Support Senior Management requests when required.

Management of office celebrations (birthdays/maternity leaves/engagements) – cake/gifts/flowers

Organising of events, organizing the hiring of catering equipment/furniture, if necessary, food, drink, security

Management of company credit card and associated budget including; travel, gifts, vouchers, flowers, birthdays

The Ideal Candidate

The ideal candidate will :

  • Have previous experience required in a client facing, customer-centric environment which involved; networking, problem solving, effective communication, and an ability to interact effectively at all levels and across diverse cultures.
  • Be a self-starting people-person who fosters healthy relationships with internal and external stakeholders.
  • Have the ability to maintain high level of concentration and focus with multiple tasks and priorities, ensuring high quality service under pressure.
  • Have a professional attitude and excellent delivery of Customer Service
  • Have the ability to work independently while also being a team player.
  • Be personable, friendly, professional and approachable.
  • Have excellent written and verbal communication
