This role involves acting as a central point of contact, ensuring a smooth and professional experience for staff, guests and senior stakeholders. You’ll uphold agreed service standards and follow established processes to maintain a consistently high level of service.
Type of contract: Full-time, Permanent
Hours: 40 per week (Monday-Friday; 8:30 AM – 5:30 PM, with flexibility as per business needs)
Salary: €38,561 per annum

Main responsibilities
- Manage facilities inbox and job queue, ensuring timely resolution and accurate record-keeping.
- Handle daily mail distribution and support general office operations.
- Provide front-of-house cover, including reception support and visitor assistance.
- Coordinate and book meetings, events, and catering requirements.
- Maintain and review event calendars, liaising with internal teams and external vendors.
- Support visiting executives, including scheduling, desk bookings, access, and logistics.
- Track and manage executive visits, ensuring all details are up to date and communicated.
- Assist with onboarding new joiners, including office tours, system setup, and inductions.
- Monitor office supplies, stationery, and consumables; reorder as needed.
- Conduct regular office checks to ensure facilities, meeting rooms, and equipment are in good condition.
- Support internal meetings and provide updates on events, visitors, and operational needs.
- Assist with event delivery, including setup, coordination, and on-the-day support.
- Build strong relationships across teams to ensure smooth operations and a high-quality workplace experience.
