Events Coordinator - Dublin (ACEC)

Job Introduction

We are looking for an Events Coordinator to join our Rapport team, based in one of our Clients sites in Dublin. You will be part of a large and diverse team that supports our client: a Fortune Global 500 company, where excellence and creativity are the norm every single day.

Join our energetic and established Events team and play a key role in helping our customers to have the best events planning experience, right from the enquiries stage up to the planning and the event day.

This is a full-time, permanent role (40 hours per week). You will be working from Monday to Friday on a shift rota basis between 8 AM and 6 PM (with flexibility as per client’s needs and overtime available).

Ideal start date: 2nd of September 2024

Main responsibilities

  • Assisting the Events department, maximising bookings by delivering a delightful, yet efficient booking service
  • Providing meticulous support with the event preparation, coordination and delivery, ensuring every detail of a customer’s booking is accurately recorded, following established procedures
  • Ensuring all equipment/technology is in working order and report when required
  • Maintaining high standards so that customer’s expectations are consistently exceeded and providing operational support as required
  • Checking that all meeting rooms are set up correctly according to the agreed specification
  • Having a full understanding of the building layout to provide an outstanding guide to the details of Guest/Client requests when booking or enquiring about the facilities available

The ideal candidate will

  • Ideally have at least six months of events experience (organising, planning and delivering them, while also being familiar with event space setup styles), and a minimum of two years of customer facing experience within a five-star establishment (e.g., hotels, premium airlines, corporate background)
  • Be welcoming, energetic, highly organised, excellent in planning, confident, innovative, passionate about service
  • Have a positive, outgoing personality and be able to easily build rapport with key stakeholders
  • Be proactive with a hands-on approach, flexible, adaptable, with strong time management skills, great attention to detail, can-do attitude, and ambition to learn and grow
  • Display excellent personal presentation and interpersonal skills
  • Be computer literate, with excellent communication skills, verbal and written, with a professional telephone and email etiquette
  • Demonstrate the ability to work independently and manage own workload
